Vitalis Integral Clinic ("Vitalis", "we", "us") is committed to protecting your privacy. This policy explains what personal data we collect through this website, why, and what rights you have under the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.

2. What we collect

Through the appointment request form on this website, we collect: your first and last name, email address, phone number, the service you're requesting, your preferred date and time, and any optional message you choose to write. This form exists only to let our secretary get in touch and confirm a slot — it is not a clinical intake form.

3. Why we collect it, and our legal basis

• To respond to your appointment request and arrange a booking — legal basis: your consent (given via the checkbox on the contact form).
• To keep the site secure and functioning — legal basis: our legitimate interest in operating the website.

4. Cookies

This site uses a small number of cookies. See our Cookie Policy for full details and how to manage your preferences at any time via the "Cookie Preferences" link in the footer.

5. Who we share your data with

• Vercel, our website hosting provider, which runs the server that relays appointment request form submissions to our own inbox by email. It does not store form submissions itself.
• Google (Gmail), which we already use as the clinic's email provider, delivers that email to vitalisintegralclinic@gmail.com.

That is the full list. Your appointment request is handled by our own staff from that inbox — we do not pass it to any third-party booking or practice-management platform.

We do not sell your personal data, and we do not share it for marketing purposes without your separate consent.

6. International transfers

Where any of the providers above are located outside the European Economic Area, we rely on appropriate safeguards (such as the EU Standard Contractual Clauses) to protect your data.

7. How long we keep your data

Appointment request form submissions are kept for 12 months unless you become a patient, in which case clinical and appointment records are retained in line with professional record-keeping requirements (CORU requirements for physiotherapy; the relevant professional body guidelines for chiropractic and psychotherapy).

8. Children's data

This website is not directed at children. The digital age of consent in Ireland is 16 — we do not knowingly collect personal data from anyone under 16 through this site without the consent of a parent or guardian. If your child needs an appointment, a parent or guardian should complete any forms and provide consent on their behalf. If you believe we hold data from a child without appropriate consent, contact us and we will remove it.

9. Your rights

Under GDPR, you have the right to:

• Access the personal data we hold about you

• Request erasure of your data
• Restrict or object to processing
• Request a copy of your data in a portable format
• Withdraw consent at any time
